UK PonyCon is entering its sixteenth year and now it’s time to begin forming the team who will make it happen. Applications for the Communications Lead, Operations Lead, Stalls Lead and Events Assistant positions are now open and will close at 7pm on Monday 31st December 2018. Proposed Structure 2019
With the convention growing larger each year, we are re-organising ourselves a little to provide a structure more able to support a variety of roles. This new structure is something we are trying this year and it will flex and change as we create something new.
One type of role is what we are referring to “Organising Assistants”. These roles will help support the convention throughout various points throughout the year, but will be more focused on one or two particular aspects of the convention, for example stalls lead. These won’t be as time intensive or demanding as “committee” roles, although they are still a commitment which will be recognised accordingly.
We will continue to have “volunteer” roles, both general and specific, but these are much more focused on the convention weekend itself, although there may be some opportunities to help at other stages.
Requirements and information for all roles
All applicants must be over 18 years of age at the time of making the application and have no unspent criminal convictions (excluding traffic offences). Applicants for committee roles must have attended at least one UK PonyCon.
All roles are volunteer roles and unpaid. Please also refer to our Volunteer Agreement www.ukponycon.co.uk/volunteer-agreement for what we expect of you and what you can expect of us.
Applicants should apply for one position but in the interests of flexibility, you may be offered a different role than the role you apply for that matches your skills, experience and interests.
New selections will be made by the Committee members who are continuing to serve another year. The committee reserve the right to decide not to fill any or all of these roles, or to offer alternative volunteering opportunities instead.
Please do not post on social media or forums that you have made an application. All applications will be dealt with in the strictest confidence. The appointments will not be announced publicly until after the application deadline has passed and all formalities have been completed.
How to apply
Applicants should prepare a short CV and personal statement outlining why they believe they are suited for the role and any relevant skills or experience. This should be sent to volunteer@ukponycon.co.uk before 7pm Saturday the 5th of January (extended from7pm on Monday 31st December 2018). An acknowledgement email will be sent within one to two days to confirm that the application has been received.
Relevant details of the application will be shared with the continuing committee members. In some cases, the committee may request further information from an applicant by email before making a decision on whether to make an offer. Final decisions will be sent out by Sunday 20th January 2019 or earlier. Therefore, please ensure all email inboxes are monitored to allow for prompt replies.
Communications Lead
As Communications Lead, you will be responsible for marketing UK PonyCon, managing our online presence and responding to enquiries through multiple online channels.
You will manage our social media profiles across Facebook, Twitter, YouTube, Instagram and Snapchat, and also our website and email newsletter. Before, during and after the convention, you will work with other members of the team, particularly the Chairperson, Events Lead, Treasurer and Arts Lead, to plan and write content to communicate important news and maintain and grow interest in the event, while replying to queries from the public received through these channels. There may also be opportunities for building partnerships with other organisations for marketing purposes.
You will report to the Chairperson and may have volunteers reporting to you, such as photographers. You will be a member of the core management committee. You will be involved at all stages of the convention: during the planning, at the convention and afterwards.
Past experience managing social media profiles for organisations would be highly advantageous although not mandatory.
This role will require very regular online access to our social media, as well as checking in to the forum and discussion groups and take part in discussions for planning the event there.
Operations Lead
As Operations Lead, you will be responsible for supporting the event in all manner of ways that are often considered behind the scenes and is a key role in the organising of the convention.
Before the convention, you will source key operational and safety equipment, assist with the creation and implementation of an Event Safety Management Plan and plan signage and registration, among other tasks. At the convention, you will work to implement the plans to assist with maintaining a safe and enjoyable event.
You will report to the Chairperson and will have volunteers reporting to you to assist with your tasks. You will be a member of the core management committee. You will be involved at all stages of the convention: during the planning, at the convention and afterwards.
Past experience working at events would be highly advantageous, such as community events or comic cons, but any experience would be beneficial.
We ask you to be online regularly to check in on the forum and discussion groups and take part in discussions for planning the event there.
Stalls Lead
A new Organising Assistant position we are potentially recruiting for this year is “Stalls Lead”. As Stalls Lead, you will work with the team to plan and implement a great experience for stallholders.
You will report to the Treasurer and have the opportunity to be involved at all stages of the convention if you wish but the main focus of the role will be immediately before and at the convention. During the setup of the convention, you will assist in preparing the stalls area for stallholder occupation and registering stallholders. During the convention, you will act alongside the Treasurer as a point of contact for stallholders to assist them with any issues, distribute information and supplies to stallholders and helping keep the stalls area safe and presentable. At the end of the event, you will assist with the load-out process.
This is a new role and for the right candidate there are opportunities to contribute further. If wanted, there will be opportunity to work with the Treasurer in responding to enquiries from stallholders, planning the stallholder application process, reviewing applications, allocating tables and putting together the stallholder information pack. After the convention, you may assist with the stallholder survey, to gather feedback on this year’s event and suggestions for improvement in future years.
Good organisation and communication skills are key, as well as the ability to work in a team. Past experience is not required and you will be supported by the Treasurer and core committee.
Events Assistants
As an Events Assistant, you will work with the Events Lead and other members of the Events Subcommittee to play a pivotal role in putting on a strong programme of events for attendees.
UK PonyCon hosts a wide variety of events, from arts and crafts and games, to external panellists and musicians. With the support of the Events Lead, you’ll take ownership of multiple events, liaising with third parties and sourcing supplies and equipment as necessary to ensure everything is in place for your events to be as successful as possible, within the constraints of the convention. During the convention, you will be present at your events to see them come to fruition, whether that’s presenting games or being on hand to support external panellists. The events that you are responsible for may share a common theme or they may cross multiple themes, depending on your preferences and the requirements of the events schedule.
You will report to the Events Lead. You will be an Organising Assistant and member of the Events Subcommittee. You may be assigned volunteers to assist with your events at the convention, subject to individual event requirements. You will be involved during the planning stages of the event and at the convention.
Good verbal communication skills are key. Past experience in a similar role would be beneficial but not required.
